TERMS & CONDITIONS ACCOMMODATION, TOURS, PACKAGES, EXPERIENCES


STANDARD CONDITIONS OF BUSINESS

1. UNDERTAKING

Dental Spas And Safaris undertakes to provide all services offered subject to the terms and conditions set out herein, which terms and conditions are accepted by the traveller.


2. DEFINITION

a) Dental Spas And Safaris means: Skybridge Trading Ltd T/A Dental Spas And Safaris.

b) Traveller means: Individual/s, groups, companies or other legal person/s using the services offered by Dental Spas And Safaris and includes the agents of travellers.

c) Services means: The provision of accommodations, tours, packages, transportation, meals and/or any and all other travel services and activities as offered or provided by Dental Spas And Safaris from time to time and accepted by the traveller.


3. TERMS OF PAYMENT

a) On confirmation of services: a deposit of 50% of the quoted tour price is required.

b) 90 days before commencement of services – full payment plus rooming list is required.

c) For tours that include services of certain suppliers with more stringent policies, e.g. National Parks Board, Private Lodges and others, different payment terms may be enforceable. These will be provided when applicable.

d) Airline reservations, potential Finance and Insurance are to be made directly by the traveller and copies of key information is to be shared with Dental Spas And Safaris for the accurate management of itineraries.

e) All airfare reservations, potential Finance and Insurance are subject to the conditions imposed by the respective service providers.

f) Bookings made within 90 days of commencement of services must be accompanied by full payment of the services plus rooming list. Where circumstances do not permit the timeous receipt of funds, explicit confirmation of transfer of funds will enable us to reserve services.

g) As payments are made in negotiable South African Rands (ZAR) foreign currency, the payer / traveller will be responsible for any short payment resulting from exchange rate fluctuations. The exchange rate applied by the official bankers of Dental Spas And Safaris on receipt of moneys will be accepted as the applicable rate.

h) Paying by bank card will attract an additional 2.5% fee charged by the banks.


i) If the required deposit or final payment is not received by due date, Dental Spas And Safaris reserves the right to suspend or withdraw services.

j) The non-issuing of an invoice or non-payment of deposit will not exempt travellers from these payment terms.

4. CANCELLATIONS


a) Cancellations made within 90 days prior to arrival will result in 100% cancellation fees being charged. Should cancellation be made within 91-120 days prior to arrival 50% is chargeable, whilst 121+ days prior to arrival 10% is chargeable.

b) Dental Spas And Safaris reserves the right to recover any costs incurred or charges received from suppliers up to the date of cancellation.

c) We recommend that travellers take adequate personal cancellation insurance cover before departure from home.

d) For tours that include services of certain suppliers with more stringent policies, e.g. National Parks Board, Private Lodges and others, different cancellation fees may be enforceable. These will be provided when applicable.

e) The non-issuing of an invoice or non-payment of deposit will not exempt travellers from these cancellation terms.


5. AMENDMENTS


Enormous care goes into the composition of programs and tours for travellers, however circumstances such as currency devaluation, fuel surcharges or price amendments by suppliers may necessitate changes in costs and tour programs.

Should this occur travellers would be notified as soon as reasonably possible, although Dental Spas And Safaris and its service providers reserve the right to amend the itinerary of the services without prior notice, notwithstanding that deposits or complete payments have been made. Any increases up until the date of departure of arrangements resulting to the above are to be paid by the traveller.

If such increases are unacceptable, the traveller may cancel his/her booking, though in so doing he/she is still liable to pay any cancellation charges imposed in the way of cancellation, administration, communication charges, etc.


6. INSURANCE

It is the personal responsibility of each traveller to ensure that they have adequate travel insurance cover. Please contact a broker directly, read the policy details carefully to ensure that the insurance cover purchased is suitable and is adequate for your particular needs. Dental Spas and Safaris and its agents will not be responsible or liable for any consequences of any nature arising from the failure to obtain or maintain adequate insurance cover.

We strongly recommend that travellers take adequate personal travel insurance cover before departure from home.


7. INDEMNITY

a) Dental Spas And Safaris, its affiliated service providers, agents, and sponsoring organisations act only as agent for the suppliers of accommodations, tours, packages, transportation, food, and other goods and services provided to the traveller.

All arrangements for transport, accommodations, and services are made upon the express condition that Dental Spas And Safaris shall not be liable for any direct, indirect, consequential, or incidental damage, injury, loss, accident, delay, or irregularity of any kind occasioned by reason of any act or omission beyond its control, including, without limitation, any act of negligence or breach of contract of any third party such as an hotel, tour, experience, restaurant, ground handler, etc., who is to or does supply any goods or packages for the services.

Without limiting the foregoing, Dental Spas And Safaris is not responsible for any losses or expenses due to delay or changes in schedule, overbooking of accommodations, default of any third parties, sickness, weather, strikes, acts of God, acts of terrorism, war, quarantine, criminal activity, or for any other cause beyond its control.

b) Safari programs and tours may take travellers into close contact with wild animals. Rangers and guides should brief travellers accordingly, however, neither Dental Spas And Safaris nor their directors or employees can be held responsible for any injury or accident while on safari or tour.


8. JURISDICTION

a) The law of the United Kingdom and where necessary the Republic of South Africa shall govern the relationship between Dental Spas And Safaris and the traveller and the Courts of the United Kingdom and the Republic of South Africa shall have jurisdiction in respect of any claims and/or disputes which may arise between Dental Spas And Safaris and the traveller, or Agent.


ADDITIONAL IMPORTANT INFORMATION

1. LUGGAGE


Dental Spas And Safaris accepts no responsibility for loss or damage to luggage or personal property from whatsoever cause arising. Travellers are advised to take up adequate insurance cover. Travellers are to check with their respective flight agent or airline about their luggage allowance for the flights into and out of South Africa. Domestic and regional flights, the commercial full service and low-cost airlines in South Africa generally have a baggage allowance of 20kg per person with hand luggage weight at 7kg however to be confirmed upon booking by the traveller.


2. HEALTH

a) Cape Town and Johannesburg are malaria-free. If travelling to a malaria area such as the Kruger National Park situated on the North Eastern side of South Africa (approximately 4.5 hours’ drive from Johannesburg), in such instance we strongly suggest that travellers take anti-malarial medication prior to commencing travel. Please consult your doctor/pharmacist for specific medical advice.

b) Please note that if you are arriving into South Africa from a yellow fever zone then you will need to provide proof to the South Africa authorities that you have had a yellow fever inoculation.

c) Clients with specific health problems or specific requirements must notify Dental Spas And Safaris in advance.


3. VISAS AND PASSPORT

a) Holders of British and EU passports do not require visas to enter South Africa for up to 90 days of stay for business or tourism.

b) Travellers are responsible however and are required to ensure that all such requirements are attended to as Dental Spas And Safaris accepts no responsibility in this regard.

c) Visitors to South Africa must have a passport that is valid for at least 30 days after the intended departure date from South Africa.

c) Passports should also have a minimum of two blank passport pages. The blank pages cannot include the “endorsement” page at the back of the book. If there is insufficient space in the passport, entry into a country could be denied. If you require a visa, you must ensure that your passport has two blank facing pages – one for the visa and one for the entry stamp.

6. FLIGHT BOOKINGS AND FINANCE

a) Airline reservations and potential Finance applications are to be made directly by the traveller and copies of key information is to be shared with Dental Spas And Safaris for the timely payment and accurate management of itineraries.

b) All airfare reservations and potential Finance are subject to the conditions imposed by the respective service providers.

b) We require a copy of all traveller passports.


7. CAR RENTAL

a) Please note that should this service be required, the traveller/renter will be required to supply the following on collection of the rental vehicle.

i) Valid Car Rental Voucher.

ii) Valid Credit Card.

iii) Passport.

iv) Valid driver’s licence.

v) Home Address and Telephone Number.

vi) Local contact details.

b) Please note that a rental deposit in the form of a credit card authorisation will be required and taken at the time of rental to cover any additional charges incurred during the rental. The traveller/renter needs to produce a recognised bank credit card. No Debit Cards, including Maestro and Electron are accepted.

c) Foreign Driving licences are acceptable provided the language used (printed thereon) is English and there is a photograph present. Should a licence be in any other language, other than English, we require an International Driving Licence to be produced at commencement of the rental or an official translation by a consulate/embassy.

d) Drivers under the age of 23 years are permitted, provided they have been in possession of a valid unendorsed driver’s licence for a minimum of 2 years. A Young Driver Daily Surcharge will apply.

e) Refuelling:

i) Each traveller/renter, when collecting a rental vehicle, receives a vehicle with a full tank of fuel. In order to deliver this service, fuel levels are checked on termination of each and every rental as part of the car rental company business quality checking process.

ii) Car rental companies request that the vehicle is returned refuelled, or alternatively they will automatically provide a refuelling service and charge a refuelling fee (subject to the rental company). The refuelling service provides customers with a convenient alternative to refuelling yourselves, and fuel is charged at the gazetted retail rates.

iii) This service will apply to all rentals and will be charged to the traveller/renter’s credit card.


8. AIRPORT TRANSFERS

a) It is the flight agent’s duty to provide the traveller correct flight information and for the traveller to provide accurate, updated information to Dental Spas And Safaris.

Dental Spas And Safaris will not be held responsible for any changes, loss of flight service or additional charges occurred should flights change or become unavailable.


9. ACCOMMODATION, TOURS, PACKAGES AND EXCURSIONS

The terms and conditions set by each respective service provider will apply to all accommodation, packages, experiences, excursions and tours.

Clients are encouraged to familiarise themselves with these terms at time of booking, as they each outline the specific conditions of the services offered.


10. PROTECTION OF PERSONAL INFORMATION


a) “Personal Information” means personal information of the traveller;

b) The traveller hereby authorises Dental Spas And Safaris to collect and store your Personal Information as it is relevant to this agreement, these terms and service which Dental Spas And Safaris is providing for travellers and is deemed to be relevant for the provision of such service.


c) Dental Spas And Safaris is committed to the adherence of all national legislation and regulations pertaining to the safeguarding of data privacy.

d) Dental Spas And Safaris shall use information previously provided by travellers to perform its services and to amongst other things, develop and manage itineraries, process invoices, credit notes, statements and any other document related to the service.

e) You confirm that we may share your personal information with approved third party service providers and Dental Spas Anda Safaris personnel, who have an obligation to keep the personal information secure and confidential. We undertake not to disclose your personal information unless it is legally or contractually required to do so.

f) Dental Spas Anda Safaris agree to use all reasonable efforts to ensure your personal information in our possession is kept confidential, is stored and processed in a secure manner to deliver the service.

g) You confirm that you have read and agree to Dental Spas And Safaris’ Privacy Policy and hereby provide your consent to process your personal information and acknowledge that you understand the purpose for which it is required and for which it will be used.
